We (MFD Marketing Ltd.) are the "controller" of PII that is collected and used for the purposes of this policy. We are responsible for deciding the purposes and ensuring that your PII is handled safely and meets legal requirements.

The PII we collect and when we collect it

We collect first name, email address, name of your business, your business’ website and social media URLs when you subscribe to receive MFD Marketing's emails for the purpose of completing your free Social and Web Audit and/or sending you marketing emails from MFD Marketing.

We collect first name, email address, nature of your business and credit/debit card details when you make a purchase from MFD Marketing Ltd. for digital products or services, for the purpose of providing you with proof of purchase for your records.

We collect first name, email address, phone number, monthly budget amount, service/s of interest and any voluntary context and website and social media profile URLs you provide about your business when you schedule a discovery call with MFD Marketing Ltd. This is for the purpose of research in order to be able to prepare ahead of time to maximise value of the time on call.

We collect first name, email address, digital signature and IP address when you sign a contract for service/s with MFD Marketing, for purpose of evidencing the mark of agreement between both parties and handle any disputes.

After working together or you purchasing a product from us, with your consent we will use images, video or audio recordings of you and/or your feedback for the purpose of creating promotional and/or case study materials.

Purposes for collecting the PII

·       Policy update notifications - We may send emails to our mailing list to inform you whenever we update any of our terms and conditions, policies and/or legal wordings. We are required to do this by law.

·       Email subscription - We send monthly newsletter emails to our mailing list to provide recent industry news, trends, promotions of our products and tips we hope our audience find useful.

·       Email marketing - We send targeted emails to promote related products after you purchase a product from this site and/or book a service with us.

·       Processing payments - We use your personal and payment information to process your payment/s for any product/s you purchase from our site and/or services you choose to book with us.

·       Promotional material - We use reviews on our products and/or services that you provide as part of our promotional material. We do not include your name or any content from you (images, messages, video and/or audio footage) unless you specifically give your consent for us to do this.

·       Sending an updated copy of a digital product - We may email you a copy of a revised version of a product that you have previously purchased as a courtesy if it has undergone significant changes.

·       Booking a discovery call - We use your name and email address in order to schedule and send an invitation to you for a discovery call with us.

·       Fulfilling a discovery call - We use your name and email address in order to fulfil a discovery call with you and send follow up email/s where required. We use any hyperlinks you provided in your request form in order to learn about your business to be able to provide the most value to you in your discovery call.

Any information that you share with us during your discovery call is treated with confidentiality, meaning that we will not share any information you give us unless you specifically tell us in writing that you give your consent for us to do this. Any notes or call recordings are stored in a secure location accessible only by us.

·       Contact for follow-up after a discovery call - We may use your name, phone number and email address for the purpose of following up with you regarding recommended products and/or services.

Your PII is not sold, reproduced or passed to any third party other than our payment services and video conferencing partners named below.

We will only ever share your PII if and when we are specifically requested to by law.

Security

We take all reasonable measures possible to secure your PII. This includes on physical devices and using available multiple-factor authentication on MFD Marketing Ltd.’s business accounts.

Marketing

We provide our website visitors with the opportunity to sign up to an email mailing list via an opt-in form.

We specify clearly during the checkout process for all of our digital products that customers are also automatically added to the mailing list for marketing purposes such as product promotions, recommendations and general news and updates.

Service providers

·       Website, contact form, email subscriber sign up form, free audit form and eCommerce partner - We use Squarespace as our website platform, form intake and eCommerce partner. We share your name, email address, any written context and URLs you choose to share for your business, discount codes and card details to allow them to facilitate:

  1. The submission of a form to ask any questions to us via email

  2. The submission of a form to join our email marketing list

  3. The submission of a form to request a free social media and website audit

  4. The partial or full completion of a checkout process on our website, including the use of discount codes and submitting card details for our payment services partner Stripe (see further below)

  5. The fulfilment of digital product delivery to you via email, to the email address that you provided during the checkout process

They use this PII to allow MFD Marketing Ltd. to identify you from emailed form responses and to complete checkout and post-purchase product fulfilment.

  • Client Relationship Management (CRM) partner - We use Dubsado as our Customer Relationship Management (CRM), appointment scheduling and invoicing partner to manage relationships and workflows with our clients. We share your name, email address, phone number and any written content and URLs you choose to share for your business to us within Dubsado forms or questionnaires, to allow them to facilitate:

  1. The submission of a form to give us context about your business upfront for a free discovery call

  2. The scheduling of a free discovery call with us

  3. The sending of invitations for scheduled calls with us

  4. The sending of follow up communications after scheduled calls with us

  5. The sending of proposals for proposed services with us

  6. The sending of onboarding forms for proposed services with us

  7. The sending and automated signing of contracts for proposed services with us

  8. The creation and sending of invoices for payment for services with us

  9. The initiation and continued communications whilst you undertake services with us (notification and reminder emails, your completion of feedback forms etc.)

They use this PII to allow MFD Marketing Ltd. to identify you from emailed form responses, identify your payments, identify your service bookings and facilitate workflows with you to send onboarding forms, contracts and documents to you via email and process their completion.

·       Payment services partners - We use Stripe as one of our payment services partners. We share your name, email address and payment details to allow them to facilitate payments for purchases you make from us via the eCommerce module on our website, www.mfdmarketing.com, and/or sending you a direct payment link to pay for one-off and/or ongoing services with us.

They use this PII to send you automated receipt email/s for your purchase/s from us and/or to link and confirm your payment on screen.

We use Monzo Business as one of our payment services partners. We share your name, email address and payment details to allow them to facilitate payments for sending you a direct payment link to pay for one-off and/or ongoing services with us.

·       Email fulfilment partners – We use Google Sheets to collect email contact responses from our intake forms on Squarespace via direct integration. As we prepare to move to our new email marketing platform (Zenler) soon, we are currently sending emails manually from the tool Private Email (provided by Namecheap). We share your name and email address to be able to send single and/or sequential emails, once moved to Zenler we will also share the nature of your purchase or booking.

Squarespace and Google Sheets use this PII to deliver the emails to you and/or to identify you to fulfil your email unsubscription request, should you make one.

Zenler will use this PII to add your email address into email segments for emails that are of relevance and interest to you, deliver the emails to you and/or to identify you to fulfil your email unsubscription request, should you make one.

·       Video conferencing partners - We use Zoom and Google Meets as our video conferencing partners. We share your name and email address to facilitate a discovery call that you book with us.

They use this PII to grant you access into the call meeting room area and join onto any calls scheduled with MFD Marketing Ltd.

·       Digital product fulfilment partners – We use Canva as our selected platform for users to access our template digital products. We share your name and email address to share the template link with you. We will shortly be onboarding to Zenler as a selected platform for users to access digital products from us, Zenler will use your name, email address and nature of product you purchased from MFD Marketing Ltd.

Canva uses this PII to restrict access to the template only to those it is shared with.

Zenler will use this PII to identify you and the product/s you purchased, in order to allow you to build your own login to a secure portal where you may access your digital products purchased and manage your account.

Service fulfilment partners - We use Google Drive and Apple iCloud as platforms for sharing artefacts between us and clients. We share your name and email address.

Both tools use this PII so that you can be identified to have files and folder paths shared with you via email and/or file transfer on phone.

Digital communication partners - We use WhatsApp Business, TikTok, Instagram, Facebook, Threads, LinkedIn and YouTube for the purpose of communicating via direct message and/or engaging in comments with others. We share your name, email address, social media profile handle, social media profile URL and/or phone number for the purpose of communication.

The tools use this PII to be able to identify you in order to transit direct messages and engagement (such as comments etc.)

MFD Marketing Ltd. uses AI-assisted technologies where your PII may be processed. The usage and controls we take are all laid out in our AI Policy on this website.

Our email newsletters, website pages and products may contain links to external sources such as other websites.

It is your responsibility to refer to the privacy policies on these sources as they do not come under this one.

Data protection and GDPR compliance with the ICO

MFD Marketing Ltd. is actively registered with the Information Commissioner’s Office (ICO), the UK’s independent regulator for data protection.

By paying our annual fee to the ICO, we officially commit to following the UK’s data laws. This protects you because:

  • We follow strict rules on how we collect, store, and use your personal details.

  • We are held to account by a national watchdog to ensure your data stays safe.

How to raise a complaint to us (our process and timescales)

Should you wish to make a complaint about how we process your PII, we have a specified complaints process in line with the Data Use and Access Act (DUAA).

Please submit your complaint to us via email either using the contact form on our website, or directly to sian@mfdmarketing.com.

Upon receiving your complaint we will endeavour to both acknowledge receipt and deliver a written outcome to you via email, as soon as reasonably possible within 30 days.

Should you be unhappy with the outcome provided by us, you may also raise complaints externally via the Information Commissioner’s Office (ICO).

Changes to this policy

Should this policy change, we will update it here. We will also update you via email if we still hold your PII.

This will not apply if you have made a request for deletion which has been fulfilled.
